Position Summary
GCS is seeking a professional reliable and highly organized Office Manager to support daily operations in our Missoula office. This position is in office and serves as the first point of contact for customers visitors and partners. The Office Manager is responsible for maintaining a professional office environment ensuring phones and the front door are answered during business hours and providing administrative and sales support to the team.

This role does not require GIS or technical knowledge. Strong communication skills professionalism reliability and comfort using modern productivity and AI tools are essential.

Key Responsibilities
• Be present in the office during business hours and maintain a professional appearance
• Answer and route incoming phone calls in a courteous and professional manner
• Greet visitors and customers and manage front door reception
• Coordinate incoming and outgoing mail and packages
• Maintain office supplies equipment and vendor relationships
• Support scheduling of meetings conference rooms and shared calendars
• Assist with onboarding logistics for new employees
• Coordinate internal meetings and company events
• Support travel coordination and expense reporting
• Maintain a clean organized and welcoming office environment

Sales and Business Development Support
• Assist with scheduling sales and client meetings
• Monitor respond to and triage sales related emails and inquiries
• Track leads opportunities and follow ups using internal systems
• Support preparation coordination and follow through of sales activities
• Help maintain accurate records of customer and prospect interactions

Required Qualifications
• Prior experience in office administration customer service or a similar role
• Professional demeanor and strong interpersonal communication skills
• Ability to communicate clearly and confidently with customers visitors and staff
• Strong organizational skills and attention to detail
• Ability to manage multiple priorities independently
• Proficiency with Microsoft Office 365 including Outlook Word Excel and Teams
• Comfort using modern AI productivity tools such as ChatGPT Microsoft Copilot and Google Gemini for drafting summaries organizing information and improving efficiency

Preferred Qualifications
• Experience supporting sales or business development activities
• Experience in a professional services or consulting environment
